What documents are required during physical reporting?

At the time of physical reporting, you must bring the original documents listed below. It is also strongly recommended to carry 2–3 photocopies of each document to avoid last-minute issues during verification.

The exact document requirements may change every year. Always refer to the latest admission instructions issued by NIT Jalandhar.

Anti-Ragging Cell (NIT Jalandhar)

NIT Jalandhar has constituted an Anti-Ragging Cell to eradicate ragging from the campus.

Important Note

NIT Jalandhar follows a zero-tolerance policy towards ragging. All students are required to submit the Anti-Ragging Affidavit and Parent/Guardian Undertaking before or during physical reporting.

Undertakings Required

Students are generally required to submit signed undertakings regarding:

Hostel Undertaking

  • Compliance with hostel rules
  • Hostel discipline and conduct
  • Medical emergency responsibilities

Medical Facilities Undertaking

  • Awareness of available institute medical facilities
  • Parent/guardian responsibility during medical emergencies

Motor Vehicle Undertaking

  • Agreement not to use motor vehicles inside campus without permission

These forms are usually provided by the institute along with reporting instructions.

Keep PDF Tools Ready

Reporting days can be hectic, and internet connectivity is not always reliable.

Before coming to campus, keep an offline:

  • PDF Merger app
  • PDF Compressor app
  • Image Compressor app

installed on your phone or laptop.

These tools can save a lot of time if:

  • A document exceeds the upload size limit
  • A PDF needs to be merged
  • A scanned image needs compression
  • A document has to be re-uploaded at short notice

Verify School-Issued Documents

Before leaving for campus, carefully verify the following:

Missing signatures or seals on Migration, Transfer or Character Certificates are among the most common issues faced during physical reporting.

Missing a Document?

Do not panic.

In previous admission cycles, students who were missing a required document were generally asked to sign a Missing Document Undertaking.

This allows you to complete physical reporting and join the institute while agreeing to submit the pending document later.

Previous batches were typically given up to one month to submit the missing document. The exact deadline may vary each year.

However, this should be treated as a backup option and not something to rely on intentionally.

Keep Digital Backups

Store all documents in at least two locations:

  • Phone
  • Laptop
  • Google Drive / OneDrive
  • Cloud Storage

This can be extremely helpful if any physical copies are misplaced during travel or reporting.

Carry Passport-Size Photographs

Even if not explicitly mentioned in the reporting checklist, carrying 6–10 recent passport-size photographs is highly recommended.

They may be required for:

  • Hostel formalities
  • Student ID card processing
  • Bank account formalities
  • Departmental paperwork
  • Clubs and society registrations
